Privacy Policy
How we collect, use and protect personal information. Last updated: 12 October 2026.
1. Who we are
This policy explains how KloudCare Limited ("KloudCare", "we", "us") collects and uses personal information. KloudCare is the data controller for personal information collected through this website and in the course of our services, under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
KloudCare Limited is a company registered in England and Wales (company number 17506352). Registered office: 167-169 Great Portland Street, London, England, W1W 5PF.
For any privacy question, contact hello@kloudcare.co.uk or write to KloudCare, 167-169 Great Portland Street, 5th Floor, London W1W 5PF.
2. What we collect
Information you give us
- Enquiry form: your name, company, email address, and optionally your phone number, company website and AWS environment size, plus the service you are interested in and details of your AWS challenge.
- Free AWS assessment request: your name, work email and company, and your monthly AWS spend if you choose to give it.
- Booking a call: when you book through our scheduling page (Calendly), your name, email address, company, the time you choose and anything you write about the AWS challenge you want to discuss.
- Emails, calls and messages: anything you send us by email, on a call or through LinkedIn.
- Clients: contact and billing details, contracts, proposals, invoices and project correspondence.
Information from your AWS account (paid services only)
For a Health Check, AWS Cost Watch or engineering work, we access your AWS account through a read-only role you create. We collect configuration, usage metrics and cost data. This is mostly technical, but it can include personal information, such as IAM user names, resource tags (for example an "Owner" tag containing a name or email address) and account contact details. The read-only role cannot read your files, database contents or secrets.
The free assessment is different: it runs entirely in your own AWS account and sends nothing to KloudCare. We only see a report if you choose to send it to us.
Information collected automatically
Our website is hosted by Vercel, which processes technical information such as IP addresses, browser type and the pages requested, in order to deliver the site and protect it from abuse. We do not use analytics, advertising or tracking tools, and we do not set cookies.
We do not knowingly collect information from children. Our services are for businesses.
3. How we use it and why
UK GDPR requires a lawful basis for each use of personal information:
| What we do | Lawful basis |
|---|---|
| Respond to enquiries and booking requests, and hold consultations | Legitimate interests (responding to people who contact us), and steps taken at your request before entering a contract |
| Send you the free assessment template and download link | Legitimate interests, and fulfilling your request |
| Follow up about your assessment results (see section 4) | Legitimate interests (offering relevant help to businesses that asked for the assessment) |
| Prepare proposals, deliver services and invoice clients | Performance of a contract |
| Analyse AWS account data during paid engagements | Performance of a contract, and legitimate interests of our client |
| Keep accounting and tax records | Legal obligation |
| Keep the website secure and working | Legitimate interests |
| Count how many people request the assessment, to understand demand | Legitimate interests |
We do not sell personal information, and we do not use it for automated decision-making or profiling.
4. Contacting you
If you request the free assessment, we email you the download link and may contact you about your results, for example to offer a free review call. We do not add you to a newsletter or mailing list without your consent.
You can ask us to stop contacting you at any time by replying "stop" to any email or writing to hello@kloudcare.co.uk. We will keep a minimal record of your request so that we do not contact you again.
5. Who we share it with
We use a small number of service providers who process information on our behalf. They may only use it to provide their service to us.
| Provider | What they do | Location |
|---|---|---|
| FormSubmit (formsubmit.co) | Processes the enquiry and assessment forms and delivers them to us by email, including the automatic email with the download link | United States |
| Calendly | Booking page for consultations | United States |
| Google (Calendar and Meet) | Calendar invitations and video calls | United States and other countries |
| IONOS | Business email hosting | EU and UK |
| Vercel | Website hosting | United States and other countries |
| Amazon Web Services | Where client engagement data is stored, encrypted, when we work on your AWS environment | As agreed with the client (UK or EU regions by default) |
We may also share information with our professional advisers (such as accountants and lawyers), and with authorities where the law requires it. If KloudCare uses a subcontractor on your project, they are bound by confidentiality and only receive what they need for the work. We will tell clients in advance.
6. International transfers
Some providers above are based in, or store data in, the United States or other countries outside the UK. Where this happens, transfers rely on safeguards recognised under UK law, such as the UK–US Data Bridge for certified US companies, or the International Data Transfer Agreement or standard contractual clauses provided by those providers.
7. How long we keep it
| Information | How long |
|---|---|
| Enquiries, assessment requests and booking details that do not lead to work | Up to 24 months after our last contact, then deleted |
| Client contracts, invoices and business records | 6 years after the end of the engagement, as required for UK accounting and tax purposes |
| AWS data and working files from a Health Check | 90 days after the findings session. The final report is kept for 12 months for any follow-on work, unless you ask for earlier deletion. |
| AWS Cost Watch reports and change records | While Cost Watch is active, and for 90 days afterwards |
| Requests not to be contacted | Kept as long as needed to respect them |
8. Cookies and browser storage
This website does not set cookies and does not use analytics or advertising trackers.
The free assessment page stores one small value in your browser's local storage after you submit the request form, so that the download button is shown when you return. It contains no personal information, and you can clear it in your browser settings at any time.
Links to other sites, such as Calendly, LinkedIn and Credly, take you to services with their own privacy policies.
9. Keeping it secure
We keep personal and client information to a minimum, store it encrypted, limit access to the people who need it, and keep each client's data separate. We never ask for AWS root credentials, passwords or long-term access keys. See our security page for how access to your AWS account works.
10. Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- object to us using your information on the basis of legitimate interests, and to direct marketing at any time
- ask us to restrict how we use your information
- ask for your information in a portable format (data portability), where this applies
- withdraw consent at any time, where we rely on consent
To use any of these rights, email hello@kloudcare.co.uk. We will respond within one month. There is normally no charge.
11. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint, telephone 0303 123 1113.
12. Changes to this policy
We may update this policy as our services change. The date at the top shows when it was last updated. Significant changes will be highlighted on this page.
